Frequently Asked Questions - EMR FAQs
Hardware, Software and Procedure Topics
Welcome to the Medscribbler FAQs page. Here there is a list of "frequently asked questions" pertaining to the Medscribbler EMR features, benefits and procedures. You will also discover FAQs concerning current Tablet PC technology. Be sure to visit our "Learn about Tablets" link at the bottom of the page for Tablet PC introductory information. An often unasked question should be the starting point of installing Medscribbler:
- » What are the recommended computer hardware requirements?
-
Medscribbler is capable of running on a single laptop computer with at least Windows Vista. In some practices this may be the chosen model but it is not recommended. This low level requirement is to allow almost instant recovery in the event of a natural disaster such as “Katrina.” For the complete recommendations please see our document: "Complete requirements: Office server and remote hosted hardware and network specifications."
- » Do I need any other software for Medscribbler?
-
Medscribbler Pro and Cloud generally do not require any other software. Other software may be required to operate your scanners, printers and faxing. Fax server software is included except in Lite and Community versions. For Pro and Cloud versions a Gateway EDI clearinghouse interface is included which requires a subscription to Gateway if you decide to use clearinghouse services. For non Pro or Cloud versions software modules are available for some functions. Billing and drug interaction software is included only in Pro and Cloud versions but is available for the Forms and documents version. Auto telephone reminder software is also available for Pro and Cloud.
- » What are the minimum system requirements for installing a Medscribbler product?
-
The minimum requirements include:
- Desktop server - 1.0GHz processor, 512MB RAM, 40GB HDD, WiFi 802.11g
- Microsoft Windows© 2000, or Windows© XP Pro version.
- Tablet client - 1.0GHz "centrino" based processor, 256MB RAM, 20GB HDD, WiFi 802.11g
- 12" screen, Windows© XP Tablet PC version.
(note: these are the minimum for everyday use with a front office person, for other use or test use the the minimum requirements can be as low as a single 1.0 GHz Tablet PC or a laptop with Windows© 2000 (no handwriting). Be aware that running Medscribbler in these conditions while possible is not an optimum use of Medscribbler)
- » Do I need any other software for Medscribbler?
-
To use any version of Medscribbler to the fullest additional software may be required. All versions require scanning software to import scanned paper documents, most scanners come with this software included. Medscribbler requires fax software for faxing. Fax software is included with modems and Microsoft Windows XP©.
Medscribbler Clinic Pro requires Microsoft SQL Server.
EZclaim© billing software is included with all versions but Lite which is by separate purchase from EZclaim©.
All Medscribbler versions include most other practice management functions.
- » Do I need a Tablet PC to operate Medscribbler?
-
Medscribbler will work on any XP or 2000 computer but only the Tablet PC will let you use handwriting. This is the first EMR designed for handwriting so without understanding how it works on a Tablet PC may make you wonder about some of the design options.
Some older or cheaper computers have missing components but we include them to upgrade your computer.
You can use the keyboard or voice and even draw with a mouse on non Tablet PCs.
- » Do I have to have an internet connection to run Medscribbler?
-
Medscribler is not an internet based EMR. It is not an ASP (application service provider) program, as a result you have complete control of your files and do not have to worry about DSL or broadband companies viability or even the viability of the ASP company storing your patient records. Medscribbler is yours, you control it and the patient record at your office with no middlemen! But, Medscribbler can use the internet to give you secure anywhere access by a VPN (separate local IT set-up).
- » What are the recommended system requirements for a single provider?
-
The minimum recommended system for a single provider is:
- A Windows XP Pro desktop (as server)
- Two Tablet PCs with an extra battery and a charger, extra pens (see FAQ about which Tablet PC)
- Backup software and system for external backups
- Two Windows 2000 or XP desktops (for clerical staff and for a provider at their desk)
- A fax service like MYfax. A modem, telephone line and fax software as an alternative.
- A standalone scanner with a feeder (not a multi-purpose machine that is also used as a main printer)
- A local network with wireless.
- Two printers, a lazer for letters and another cheaper, small footprint one for printing prescriptions
- » Should I choose Internet-based Cloud or run Medscribbler’s client server in my office?
-
There are five key decision points to answer this question:
-
Do you have on-site technical support?
Support activities, such as regular data backups, security fixes and server patches, require technical resources, whether onsite or via a local consultant. If these are not available, then the Cloud model has the advantage.
-
What are your customization needs?
If the medical provider requires use of other practice management applications (ie, in house PACS) then the client/server model has the advantage. Many general office functions like scanning can be used easily with Cloud if local Internet network is adequate.
-
What are my availability risks?
Deciding on a risk profile is an important process for a provider. If Internet connectivity is not stable, then the Cloud model would not be effective. Similarly, if minimizing local server downtime is not possible, whether because of environmental or support issues, then the client/server model is not the right choice.
-
What’s our comfort level with ceding data control and enabling migration?
The advantage of Cloud is that both the hardware and data are managed by Scriptnetics who specialize in these functions and has more mature security in place. However, if the loss of patient data control is a major issue, then this could be the primary decision criteria. Likewise, if maintaining an EMR infrastructure with both physical security and HIPAA compliance is a concern, then Cloud addresses both these issues effectively.
-
Capital expense or operational expense?
Cloud is less expensive in terms of upfront costs compared with purchasing servers and software, however, the monthly rate for the service cannot be depreciated and may in fact rise with inflation and other costs. Over three years, costs tend to be on par for client/server and Cloud; in later years you may pay more for Cloud, depending on whether infrastructure upgrade and maintenance costs. Client Server requires a plan for future capital expenditure. Cloud is consistent and predictable in cost.
